Cross-border supplier verification
How to verify a Chinese car dealer or exporter for an international order
Supplier verification should prove how the contracting party, bank beneficiary, exporter, vehicle owner and aftersales counterparty connect. Every payment should follow independently verifiable evidence, not a larger collection of screenshots.

Define the transaction before comparing prices
The same vehicle may leave China as an unregistered new vehicle, a recently registered vehicle or an ordinary used vehicle. Those routes do not carry the same documents, responsibilities or risks. State the destination country, exact variant, quantity, build and registration status, intended use, arrival window and importer of record in the enquiry. If the seller cannot describe the legal status of the units, its price is not comparable with a compliant offer.
Allocate responsibility for destination approval, modification, pre-shipment inspection, export declaration, cargo insurance, clearance, registration and aftersales at the start. Unassigned work usually becomes a dispute because both parties assumed the other would handle it. A procurement brief should name the deliverable, deadline, cost bearer and approving party for every task. Require all bidders to respond against that same matrix so omissions become visible.
Verify the legal party, authority and bank beneficiary
Obtain the registered Chinese name, unified social credit code, address, legal representative, operating status and authority of the signatory. Cross-check official corporate records. The website domain, email addresses, office location and contract heading should form a plausible whole. Claims such as factory-direct, first-tier dealer or overseas agent require a document that the supposed authorizer can independently confirm, including scope and validity.
The bank beneficiary should normally be the contracting entity. Confirm any account change through a second, previously verified channel. A personal account, unexplained collection by another company, pressure to bypass finance controls or a demand for full payment because an allocation is about to expire materially increases recovery risk. Documentary bank instruments or staged payments can control exposure, but no payment method substitutes for verifying the seller and vehicles.
Establish the correct Chinese export route
China's procedures differ for new and used vehicles. The official used-vehicle framework covers approved exporters, export licensing, vehicle registration, third-party inspection, a destination-admission declaration and aftersales terms in the contract. Controls applying from 2026 add aftersales confirmation for some recently registered vehicles. Ask the seller to identify the route and legal basis; do not accept the ambiguous label of a zero-mileage used car as an explanation.
Identify the owner, licence applicant, customs exporter, contractual seller and payment beneficiary for every unit. If several companies participate, document their mandate, purchase and service relationships and liabilities. A chain can be legitimate and still complex; it cannot be concealed. Unexplained entity changes, unusual registration timing, an unidentified inspection body or licence data that does not match the vehicles must be resolved before loading.
Build non-substitutable evidence around each VIN
The quotation schedule should include full VIN, build date, configuration code, colour, mileage, keys, location and status. Request a continuous live video using a random same-day instruction, then have an independent inspector verify identity plates, instruments, condition, functions and supplied items. Functional checks may be sampled for a large batch according to an agreed plan, but identity and documentation should be reconciled vehicle by vehicle rather than inferred from one display unit.
Keep the VIN identical across contract, pro forma and commercial invoices, packing list, inspection report, export licence, insurance and bill of lading. Record written approval for any configuration change. Payment terms should require a fresh review before a vehicle can be substituted, preventing a seller from swapping units during allocation. Preserve original image metadata where available and obtain the inspection report directly from the inspector, not only through the seller.
Let the destination decide technical acceptance
UNECE UN Regulations provide an international framework for safety and environmental performance, but an approval operates within its relevant agreement, regulation series, vehicle type and accepting jurisdiction. Obtain the approval number, issuing authority, covered type and variant, and conformity-of-production information. Then ask the destination authority or recognized technical service whether that evidence supports whole-vehicle import, inspection and registration for the quoted units.
A shared model name can conceal different lamps, airbags, driver assistance, emissions calibration, charging inlets and software. Destination review must use the quoted variant and VINs, not a brand brochure. If rectification is needed, agree the technical solution, performer, retest, cost and remedy for failure before shipment. The importer should not discover after arrival that a technically similar vehicle cannot be registered.
Use the contract and trade term to set boundaries
The contract should cover parties, VIN schedule, specification, price, currency, timing, documents, inspection rights, warranty counterparty, remedies and dispute process. State the Incoterms rule, version and named place. The rule allocates defined delivery, cost and risk obligations; it does not automatically settle title transfer, payment, quality or destination admission. Cargo insurance must also align with the agreed transfer of risk and the vehicle powertrain.
Tie payment milestones to observable outputs: verified company and account, frozen VIN schedule, passed independent inspection, confirmed export documents and approved bill-of-lading draft. Define remedies for delay, shortage, transit damage, wrong configuration, invalid certificates and registration failure attributable to the supply. Authorized representatives should sign every variation. Chat messages may preserve context, but they should not be the only record replacing a formal schedule.
Verify aftersales as an operating system
A warranty statement has limited value until it names the responsible legal entity, territory, duration basis, exclusions, claim method and labour payer. Confirm diagnostic accounts, repair manuals, software updates, technical bulletins and parts catalogues. For connected vehicles, test whether applications, servers, maps, emergency functions and remote updates operate legally and practically in the destination without a Chinese telephone number or account.
Ask the proposed service point to quote several real jobs, including labour, parts origin and replenishment time. Separate routine service items, collision parts, electronic modules and high-voltage components. For electric vehicles, document charger compatibility, isolation procedures, battery repair and transport responsibility. These checks reveal whether aftersales is a functioning chain or a promise that ends once the vehicle clears the port.
Let a pilot order earn repeat volume
Limit the first order while still exercising actual preparation, inspection, export, transport, clearance and service. Record promised and actual dates, document errors, defects, communication response, claim handling, parts arrival and customer feedback. Arrival alone is not success: financing time, storage, rectification and downtime belong in the performance record. Set thresholds before the order so a friendly relationship does not dilute the decision later.
Maintain a batch-level supplier file containing corporate status, authorization expiry, bank details, contacts, model approvals, VINs, inspection evidence, exceptions and corrective actions. Recheck volatile information for every order rather than reusing old screenshots. Pause when the entity or account changes unexpectedly, the export route cannot be explained, destination acceptance remains unconfirmed, inspection is obstructed or no party owns aftersales. Reliability is demonstrated repeatedly, not granted after one due-diligence exercise.
Frequently asked questions
How can I tell whether a Chinese vehicle supplier is a real company?
Check its registered Chinese identity and operating status in official records, then verify signing authority, bank beneficiary, vehicle source and physical operations.
Does a manufacturer authorization letter prove the supplier is reliable?
It supports only the stated relationship. Confirm authenticity, scope and validity with the issuer, then still verify stock, export route and performance capability.
Why request VINs at the quotation stage?
VINs connect price, specification, ownership, inspection and transport documents to the same vehicles and prevent unapproved substitution after payment.
Do Incoterms rules cover every contract risk?
No. They mainly allocate delivery, cost and risk. Title, payment, quality, admission, warranty and remedies require separate contract terms.
Which warning signs should stop a transaction?
Pause for an unexplained beneficiary, unverifiable VINs, an opaque export route, unconfirmed destination admission or obstruction of independent inspection.
